Policy 01
Privacy & Data Protection
“If we don’t need it, we don’t keep it.”
We handle personal information lawfully, fairly and openly, and we keep only what we genuinely need for a business, legal, employment, security or project purpose.
At a glance
The short version.
Data minimisation first
No speculative databases. Unsolicited CVs and personal details sent without a continuing purpose are normally deleted once the enquiry is dealt with.
Your rights, respected
Access, correction, erasure, restriction, objection and portability requests go straight to our Data Protection Lead.
Secure by default
Approved systems, strong passwords, multi-factor authentication and access only for the people who need it.
In practice
What we commit to.
- Identify a lawful basis before processing personal data
- Never use consent just because it’s convenient
- Delete routine enquiries when they’re no longer needed
- Follow the agreed scope and security for client-supplied project data
- Restrict access to CCTV footage and handle footage requests through the Data Protection Lead
- Report any suspected breach internally, immediately
Step by step
If something goes wrong
-
1
Report it
Any suspected breach is reported internally straight away.
-
2
Contain it
We record the incident, preserve evidence and stop it getting worse.
-
3
Assess the risk
We work out the likely impact on the people affected.
-
4
Notify if required
Notifiable breaches go to the ICO without undue delay and within 72 hours where feasible.
The detail
Everything else.
The key parts of the policy, in plain English. The downloadable PDF is the full, controlled version.
Who it covers
Everyone with access to company information: directors, employees, workers, placement students and contractors, wherever the data lives, from the studio to cloud services and location shoots.
Our roles
We act as a data controller for things like staff records, business contacts, enquiries and CCTV, and as a processor when a client gives us personal data to use within a project they commission.
What we may process
Client and supplier contacts, contracts and invoices, staff and placement records, contributor names, images, voices and credits within creative work, client-supplied project data, visitor information and CCTV, and the minimum website form information needed to reply.
Creative work and personal data
People can appear in our work through footage, voices, credits and testimonials. Clients are normally responsible for the permissions behind material they give us. Requests to change finished work are assessed individually: a data protection right isn’t an unlimited right to re-edit historic work, but where a lawful request can reasonably be implemented in a recent project, we’ll work with the client to do it.
Retention
Nothing is kept indefinitely without a reason. Enquiries and unsuccessful applications are deleted promptly; financial and staff records follow statutory periods; project files are kept where there’s a genuine production, contractual or archival reason; CCTV follows its configured security period.
CCTV
CCTV at our premises is used for security and to protect staff, visitors and property. Cameras avoid private areas, recordings are access-restricted and other people may be redacted when footage is released.
Training and review
Staff with access to personal data receive proportionate guidance. The policy is reviewed every year, or sooner if the law, technology or our operations change.
Laws and guidance this policy follows
- UK GDPR and Data Protection Act 2018, as amended by the Data (Use and Access) Act 2025
- ICO guide to the data protection principles (updated 23 March 2026)
- ICO storage limitation guidance
- ICO personal data breach and 72-hour reporting guidance
- ICO CCTV and subject access guidance
