Policy 09
Confidentiality
“If someone trusts us with information that isn’t public, we treat it as not public.”
Confidentiality is part of professional behaviour, whether or not every file has CONFIDENTIAL stamped across it. That applies to files, conversations and everything in between.
At a glance
The short version.
Proud isn’t permission
Unreleased client work stays out of portfolios, showreels, social posts and award entries until it’s authorised.
Need-to-know
Only the people who need confidential information to do the work get access to it.
It doesn’t end with the project
Obligations continue after a project or someone’s employment ends.
In practice
What we commit to.
- Treat scripts, storyboards and unreleased footage as confidential
- Protect client strategies, budgets, prototypes, pricing and passwords
- Avoid open links, unnecessary CCs and personal storage
- Mind conversations in public places and around visitors
- Keep work private from family and housemates when working remotely
- Put confidentiality terms in place with freelancers and partners where needed
The detail
Everything else.
The key parts of the policy, in plain English. The downloadable PDF is the full, controlled version.
What counts as confidential
Scripts, treatments and footage; client strategies, campaigns and budgets; product information and technical documents; passwords; pricing and commercial terms; staff and personal data; pitches, investment discussions and IP; and anything a reasonable person would understand to be confidential.
Legal and safeguarding disclosures
Confidentiality never prevents lawful whistleblowing, safeguarding reports, reporting crime, responding to a court or regulator, or other legally protected disclosures, and must never be used to conceal wrongdoing.
End of engagement
Company and client information is returned, transferred or securely deleted. Former staff don’t keep private project archives for portfolio use without permission.
Breaches
Any actual or suspected unauthorised disclosure is reported immediately, and we consider containment, client notification, data-breach duties and disciplinary or contractual action.
Review
Reviewed every year, alongside our information security, privacy, AI and speak-up policies.
Laws and guidance this policy follows
- Contractual confidentiality obligations and project NDAs
- UK GDPR and Data Protection Act 2018 where confidential information is personal data
- Employment Rights Act whistleblowing protections and other legal disclosure rights
